This policy explains what personal information Meet Software Solutions Inc. collects through meetsolutions.ca, why we collect it, how long we keep it, and what you can ask us to do with it.

Who We Are
Meet Software Solutions Inc. is a business technology consultancy based in Greater Sudbury, Ontario, Canada. We are the organisation responsible for the personal information described here.

What We Collect
Information you give us. When you submit the contact form or book a technology review, we receive your name, business name, email address, phone number if you provide one, the size of your business, what you want help with, and your message. This is sent to our email and is not published anywhere.
Information collected automatically. Like all websites, our web server records each request in a log. These logs include your IP address, the date and time, the page requested, and your browser type. Our security plugin, Wordfence, also records IP addresses in order to detect and block attacks.
Analytics, only if you agree. If you accept analytics cookies, we use Google Analytics 4 to understand how the site is used — which pages are read, how people arrive, and roughly where in the world they are. Google Analytics processes your IP address to estimate your location and then discards it; we never see your IP address in Google Analytics.
IP addresses are treated as personal information under Canadian privacy law, and we handle them accordingly.
Cookies and Your Choice
We do not set analytics cookies until you agree to them. When you first visit, a banner asks whether you accept. If you decline, no analytics cookies are set and Google Analytics is never loaded. The site works identically either way.
Your choice is remembered in your own browser. To change it, clear your browser storage for this site and the banner will appear again.
WordPress may set a small number of strictly necessary cookies, for example if you leave a comment or log in. These are required for the site to function and are not used for tracking.
Why We Collect It
- To reply to your enquiry and provide the services you ask about
- To keep records of work we have quoted or carried out
- To protect the site against attacks and abuse
- To understand how the site is used, so we can improve it — only with your consent
We do not sell your personal information. We do not share it with advertisers. We do not use it to build profiles of you across other websites.
How Long We Keep It
- Enquiries and correspondence — up to 24 months after our last contact, unless you become a client, in which case we keep records as long as needed for the work and for any legal or tax obligation
- Server and security logs — approximately 30 days
- Google Analytics data — 14 months, then deleted automatically by Google
Who Else Is Involved
We use a small number of service providers who may process this information on our behalf:
- Our hosting provider, who operates the server this site runs on and holds the server logs
- Google (Google Analytics), only if you consent to analytics. Google may process this data outside Canada, including in the United States
- Our email provider, which delivers and stores enquiries you send us
Where information is processed outside Canada it may be subject to the laws of that country, including lawful access requests by foreign authorities.
Your Rights
Under Canadian privacy law, including PIPEDA and Quebec’s Law 25 where it applies to you, you can:
- Ask what personal information we hold about you
- Ask us to correct anything inaccurate
- Ask us to delete it, where we are not required to keep it
- Withdraw your consent to analytics at any time
- Ask how we handle your information, and complain if you are not satisfied
Email manmeet@meetsolutions.ca and we will respond within 30 days. If you are not satisfied with our response, you can contact the Office of the Privacy Commissioner of Canada, or the Commission d’accès à l’information du Québec if you are in Quebec.
Security and Changes
The site is served over HTTPS, access to the administration area is restricted, and we apply security updates and monitoring. No system is perfectly secure, but we take reasonable steps appropriate to the sensitivity of the information involved.
This site is not directed at children, and we do not knowingly collect information from them.
If we change this policy we will update the date at the top of this page. Material changes affecting how we use your information will be made clear on the site.
